From paper membership list to digital team management

Somewhere in a sports bag sits a binder with the membership list from three seasons ago. Sound familiar? Switching to digital team management costs one evening and pays itself back every week — if you go about it smartly.

Reading time: 5 min

Where paper (and the group chat) lets you down

Paper gets lost and cannot add things up — everyone knows that. But the group chat and the spreadsheet are barely better: information is scattered across chats, tabs and heads. Who was at practice last month? Start scrolling. What is the new player's jersey number? Ask again. The real problem is not the medium but the lack of one place where everything comes together.

The step-by-step plan: switch in one evening

  1. Gather what you have: membership list, jersey numbers, positions. That is all you need to start.
  2. Set up your team: create the team in Koach and enter your roster — or better: let players invite themselves via the team link.
  3. Assign roles: positions, setter, libero. Fifteen minutes of work with good profiles.
  4. Start small: track attendance at the very next practice. That's it — the rest grows on its own.

What you get back

You notice the difference after three weeks. The attendance percentages on the dashboard fill themselves in. The match statistics attach to the right players. And when the coach of the second team asks whether your backup opposite can join, you open their profile instead of your memory. What you lose: the searching, the retyping and the arguments about who really shows up every time. Coming from Excel? Then also read from Excel to Koach.

Leave the history behind. The temptation to enter old seasons is strong. Do not: start clean from today. Old data is rarely complete, and the value lies in what you track consistently from now on.

Frequently asked questions

What if my players do not want to join an app?

You as the coach benefit the most and can track everything yourself — players do not have to install anything. In practice they come around on their own once the first statistics and achievements get shared.

Is a sports app not overkill for a recreational team?

The opposite: precisely for recreational teams with fluctuating attendance, one up-to-date list is gold. You only use what you need — tracking attendance alone is perfectly good use.

What about my players' privacy?

You record ordinary team data (name, position, attendance) for a clear purpose. Be cautious with sensitive information in notes, and read how Koach handles data in the privacy policy.
