Privacy policy

1. Who we are

Koach is an app for volleyball coaches to manage teams, trainings and matches. This policy explains what data we process, why, and which rights you have. Koach is the data controller for account holder data.

2. What data we collect

For your account: name and email address. Koach works without a password: you sign in with a one-time code by email or through your Google or Apple account. For your team, entered by the coach: player names, date of birth, positions, jersey numbers, contact details, attendance, effort scores and match statistics. We use the date of birth to show the age of a player on their profile and, if the team belongs to a club, for club features such as the team selection, the bar shifts, club mail to youth members and the export for the board. We also collect limited technical data such as device type and app version, needed to make the app work.

3. How we use data

To make Koach work: managing teams, tracking attendance, scoring matches and showing statistics. We also send account holders email about their account and about Koach, such as messages during and after the trial, news about features and a birthday email. For that, your name and email address are stored with our email service MailerLite, together with details about your account such as your role, plan, language, teams and club, and your phone number if you entered one. If you have your own account as a player, your position, jersey number, team, date of birth, emergency contact and emergency phone are stored there too. Every email has an unsubscribe link. Koach shows no advertising and we never sell your data to third parties. The website, the web version of the app and, with your permission, the iOS and Android apps do measure whether our own ads work; see section 8.

4. Player data

The coach enters player data and, as team manager, is responsible for informing players, or their parents for minors. Many teams include underage players; for them, the coach or club needs consent from a parent or guardian before entering data such as name and date of birth. Players or their parents can request access to or deletion of data through the coach.

5. Storage and security

Your data is stored encrypted on servers within the European Union. Connections use TLS. Access to production data is limited to a small number of authorized people.

6. Retention

We keep your data as long as your account is active. If your 14-day trial has ended and you never subscribed, we delete your coach account 8 days after the end of the trial, together with the teams you own and all data in them. You will get two emails about this, 7 days and 1 day beforehand. If you want to keep everything, subscribe before then. If you are a coach on a team owned by someone with an active subscription, this does not apply to you. Nor does it if you have a role in a club (for example board member or treasurer). If you have subscribed before, a different rule applies: if you have no active subscription, you have not used Koach for 90 days and no other coach, player or parent with their own account is linked to your teams, we may delete your coach account in the same way. Player accounts are not affected by either rule. If you delete your account, we erase all team and player data within 30 days. Backups expire automatically within 90 days.

7. Your rights

You have the right to access, correct, delete and export your data. You can also object to processing. Send a request to info@koachvolleybal.nl and we will respond within 30 days. You can file complaints with your local data protection authority.

8. Cookies, statistics and ad measurement

On our website we use Google Analytics and Google Tag Manager to understand how visitors use the site, such as which sections are popular. The site also carries a Meta pixel and a Google Ads conversion tag, which measure how many visitors sign up after seeing an ad. These tools place cookies. The statistics are not linked to your Koach account and we never sell this data to third parties. In the iOS and Android apps we use Adjust (Adjust GmbH, Berlin) to measure which ad led someone to install the app and whether they then create an account, start a trial or subscription, or set up their team (players, a training session, attendance). This only happens if you give permission in the app; you can withdraw it at any time in your profile (Ad measurement). For this, Adjust receives a device ID (your device’s advertising ID if you share it, and on an iPhone only if you choose “Allow” in Apple’s prompt), the install source and these events, with the amount for a subscription. Never your name, email address or team details. Adjust shares the result with our advertising partners Google and Meta so they can see which ads work. The legal basis is your consent. If you use Koach in your browser, the web version of the app loads the same Google and Meta tags as the site; there they also record sign-ups, purchases and the use of parts of the app.

9. Enquiries from clubs

If you leave your details on the page for clubs, we send your name, your email address and, if you fill it in, your club name by email to info@koachvolleybal.nl. No account is created and the enquiry is not stored in the app or in our database; it only sits in our mailbox. We use those details solely to get in touch with you about Koach for your club, not for the newsletter and not for anything else, and we do not pass them on to third parties. If nothing comes of it, we delete the enquiry within twelve months. If you want it gone sooner, ask us at info@koachvolleybal.nl.

10. Changes

We may update this policy. For significant changes we will notify you through the app or by email before the change takes effect.
