Best sports team communication apps: six compared honestly
The short answer
The right sports team communication app depends on what you need: just messaging, or a schedule and RSVPs too. GroupMe is a free group chat; BAND, TeamReach, Spond and Heja add a calendar, and the last three also handle RSVPs. Koach is built for volleyball: no chat, but announcements, polls, tasks, push notifications and sign-ups.
You're looking at sports team communication apps because important messages keep getting buried in the group chat. Below, five well-known apps go side by side: BAND, TeamReach, GroupMe, Spond and Heja, with what each one does well and what it costs. The sixth is Koach, our app for volleyball coaches, with what it does and doesn't do: there's no chat in it.
What should a team communication app do?
Most teams start with a group chat, and it works until the season gets busy. Then the question of who's free on Saturday is buried under dozens of messages about something else, half the team misses that practice has moved, and on Friday night you're asking yet again who's driving. A team communication app fixes that if it gets a few things right:
- Everyone gets the message. A push notification on their phone, and a place where the message stays put instead of scrolling out of sight.
- RSVPs for every practice and match. A yes or no button for each event, so you get a list instead of counting loose replies.
- One schedule. Practices and matches in one place, ideally in the calendar on your phone as well.
- Decide and divide. A poll to pick a date, and a way to hand out jobs like driving or washing the jerseys.
- Privacy. With a youth team, you don't want everyone seeing each other's phone numbers.
- Costs you know up front. Free, free with ads or paid: know what you're getting before the whole team downloads it.
Why the regular group chat breaks down on exactly these points is covered in why the WhatsApp group stops working for a volleyball team. This article is about the apps that can take its place.
Five sports team communication apps side by side
We make Koach, so read this as a comparison by one of the contenders. That's why every other app comes with a link to the source, and why we say where that app is stronger. Everything below was checked in October 2026 in the App Store and on Google Play.
- BAND from NAVER is a group app for families, schools and teams. You post updates to a group page, share a group calendar with reminders, and create polls and to-do lists. It's free and, according to Google Play, contains ads. Strong if your group also wants to keep its photos and videos together, and if you want one app for more than just sports.
- TeamReach combines group chats and direct messages with schedules, RSVPs for each event, polls and reminders. Players and parents join with a group code, so nobody has to share a phone number or email address. Free, with ads you can remove through an in-app purchase. Strong if you want chat, scheduling and RSVPs in one free app.
- GroupMe is a free group chat with photos and videos that also works on your computer at groupme.com. You add people by phone number or email address. The store description doesn't mention a calendar or RSVPs: it's a chat app, not a team app. Strong if all you want is a simple, free chat.
- Spond schedules practices, matches and events, shows who's coming, syncs with your own calendar, and has group chats, messages and polls. Spond also collects membership fees and event payments: strong if you want to take money through the app, because Koach can't do that. Free, and available in 24 languages according to the App Store. The trade-offs for a volleyball team are covered in Spond alternative for volleyball.
- Heja has a team schedule, RSVPs with automatic reminders, and messages to the whole team, a group or a single team member, with read receipts so you can see who has read your message. According to the App Store, Heja has features that stop an adult from contacting a minor without a parent knowing, which makes it strong for youth teams. Free, with ads according to Google Play; the paid Heja Pro adds attendance stats and payment tracking, among other things, and removes the ads for coaches and admins. When a messaging app is enough
Not every team needs more than a chat. A messaging app like GroupMe or BAND does the job if:
- your team is small and nearly everyone shows up anyway;
- you don't need to track attendance per player, say for a rec team that plays with whoever turns up;
- it's an adult team, so you don't need rules about contact with minors;
- the social side matters more to you than the logistics: jokes, photos, birthday wishes.
If you want to know who's coming on Saturday without counting, or a player keeps missing the rescheduled practice, you need an app that handles RSVPs and a schedule. That could be TeamReach, Spond or Heja, or an app built for your sport. Plenty of teams keep the group chat for banter and move the logistics to a separate app. That works, as long as everyone knows which of the two is the official one.
What Koach does: announcements, sign-ups and push notifications, no chat
Koach is an app for volleyball coaches, not a general communication app. There's no chat in it, and no private messages either. What it does have is the part of team communication you need to handle as the coach:
- Announcements, polls and tasks. As the coach, you post an Announcement, a Poll or a Task under Announcements. On a task, someone taps I’ll do it and everyone can see it's taken care of. Players and parents don't reply with messages: they vote or pick up a task. How that works is explained in team communication with announcements, polls and tasks.
- Sign-ups for every practice and match. Players choose I'm coming or Can't make it, and for a match also I'm coming to watch, and they can add a reason when they can't make it. Parents do this for their child.
- Push notifications. In the iPhone and Android app, the team gets a notification for a new announcement, poll or task, and whenever the schedule changes. Move a match and the team hears about it automatically.
- One schedule. Practices, matches and one-off events all live in the team schedule.
14 days free, no credit card. Add your team tonight, post your first announcement and see who responds within a week.
Try Koach with your teamFor you as the coach, the win is a list that fills itself. For a match, you see under Sign-ups who's coming, who's coming to watch and who hasn't replied yet; for a practice, that list sits under Who is coming?. If someone lets you know another way, you mark them as coming or not coming yourself.
The account for players and parents is free. You invite players with a personal link for each player; all the links fit in one message, which you simply drop into the group chat you already have. You invite a parent with Invite a parent, linked to their child. Under Notifications, everyone then chooses what they want to receive, such as Schedule changes, Team messages and Day-before reminder. And with Sync calendar you put practices and matches in your phone's calendar; share that link with your team so they can do the same.
The difference from the five apps above: Koach is made for volleyball. Communication lives in the same app as your lineup with rotations and the libero, your practice plans and live scoring of your matches, point by point. You check who's coming on Saturday in the same app where you then set your lineup and score the match, without copying anything from one app to another.
Who Koach is for, and who it isn't for
Koach is a good fit if:
- you coach a volleyball team and want communication, lineups, matches and practices in one app;
- you want to know who's coming without counting;
- important messages can't get lost among everything else anymore.
Koach isn't a fit if:
- you mainly want a chat: Koach has no chat, no private messages and no replies under a post;
- you want to collect dues or payments: Koach doesn't handle money, and Spond does;
- your team plays a sport other than indoor volleyball;
- you want notifications on your laptop: push notifications only arrive in the iPhone and Android app, not in the browser;
- you want an app that stays free for the coach: after 14 days, you pay.

What do sports team communication apps cost?
BAND, GroupMe, TeamReach, Spond and Heja are free to download. The difference is in the trade-off: according to Google Play, BAND, TeamReach and Heja contain ads. In TeamReach you can pay to remove the ads, and Heja has the paid Heja Pro, which also removes the ads for coaches and admins. You can try Koach free for 14 days, with no credit card and every feature included. After that you choose Coach for €2.99 per month (one team, two coaches) or Club for €9.99 per month (unlimited teams). With a yearly plan you pay €2.49 or €8.33 per month. Players and parents pay nothing. The prices are on the pricing page; in the App Store and on Google Play you see the price in your own currency.
Pick one place for what's official. If you keep a group chat alongside the new app, agree on one rule: if it's not in the app, it doesn't count. Post the next change only in the app, and within a week your team knows where to look.

Frequently asked questions
What is the best sports team communication app?
It depends on what you need to organize. If you mostly want to chat and share photos, a free group app like GroupMe or BAND is enough. If you also want to know who's coming, TeamReach, Spond or Heja fit, with a schedule and RSVPs for each event. If you coach a volleyball team and want lineups, matches and attendance in the same app, Koach is built for exactly that combination, although it has no chat.
Are there free sports team communication apps?
Yes. BAND, GroupMe, TeamReach, Spond and Heja are free to download (checked in October 2026). According to Google Play, BAND, TeamReach and Heja contain ads, and Heja also offers the paid Heja Pro. You can try Koach free for 14 days with no credit card; after that, Coach costs €2.99 per month for one team. The account for players and parents is free.
Does Koach have a team chat?
No. Koach has no chat, no private messages and no replies under a post. The coach posts announcements, polls and tasks; players and parents vote, pick up a task with I’ll do it, and say whether they're coming to each practice and match. In the iPhone and Android app they get a push notification for each of these. Plenty of teams keep a group chat alongside it for the social side.
What's a good TeamReach alternative?
If you want the same thing, messages with a schedule and RSVPs for each event, Spond and Heja offer that too. Spond can also collect fees and event payments in the app, and Heja has features for youth teams that stop an adult from contacting a minor without a parent knowing (checked in October 2026). If you coach volleyball and want your lineup, live scoring and player development in one app alongside sign-ups and announcements, Koach is an alternative, without chat.
Do players and parents get notifications on their phone?
Yes, if they use the iPhone or Android app. They get a push notification for a new announcement, poll or task, when the schedule changes, and a reminder the evening before a practice or match. Under Notifications, everyone turns on or off what they want to receive. Koach also works in the browser, but push notifications don't arrive there.
