Your account and data: how Koach handles privacy
If you track attendance, performance and notes per player, you are processing personal data — and that comes with obligations. No panic: the GDPR and common sense largely ask for the same things. This is what a coach needs to know.
What are you actually recording?
A coach's team administration contains three kinds of data: basic details (name, birth year, jersey number), sports data (attendance, statistics, goals) and observations (your notes). The first two are uncontroversial — this is the ordinary administration of any sports team. The third demands care: write observations, not judgements, and nothing you wouldn't let the player read.
The three rules for the coach
- Purpose limitation: you collect data to coach — no more than that requires. Attendance and points: yes. Medical details in notes: only what the player shared themselves and what's relevant ('recovering from an ankle injury').
- Transparency: the team knows what you track and why. You settle that in one go during the season agreements — and it instantly makes the data accepted instead of suspect.
- Access: players see their own data (in Koach: their own profile and performance), and you never share individual data in front of the whole group — see also the etiquette in sharing statistics.
How Koach handles it
Koach is built on the principle that the data belongs to the team: players access their own profile through their own account, coaches manage the team data, and data is never sold on or used for anything other than the app itself. The simplest privacy check there is: would you read the recorded item out loud in the locker room, with the player present? Then you're fine. If you hesitate — rephrase or leave it out.
Frequently asked questions
Do I need players' consent to track statistics?
For ordinary team administration (attendance, match statistics) the team's legitimate interest is sufficient — provided you're transparent. For minors you inform the parents; for special categories of data (medical): only what's shared voluntarily and relevant.
Can a player have their data deleted?
Yes — anyone who leaves the team and requests deletion is entitled to it. Practically: set departing players to inactive first to preserve team history, and delete fully on request.
Who can read my coaching notes?
Notes are visible to the team's coaches — not to players. Which is exactly why the rule of thumb is: write as if the player is reading along; then every access question is automatically well handled.
