Sports club survey questions: a template and the data you have

The short answer

Good sports club survey questions cover practices, team, communication, volunteering and next season, in a short anonymous online form with two open questions at the end. You don't need to ask about attendance: Koach Club shows it per team. Koach has no club-wide survey, but every team can run a poll.

Sending out a member survey takes five minutes, but it only pays off if you ask the right sports club survey questions and then actually do something with the answers. Below is a questionnaire for a volleyball club that you can copy as it is. And you already have some of the answers: who turns up to practice is right there in your attendance.

Why run a member survey at your club?

A board hears a lot, but mostly from the people who are already on the sideline or stay to chat after practice. The member who is not sure about next season, the parent who thinks practice starts too late, the player who would happily referee a match but has never been asked: you only hear from them when you ask. A member survey gives that quiet group a voice, at a moment you choose.

Two things often go wrong. The first is a long list of questions, half of which are about things the club already knows, such as how often someone comes to practice. The second is that the results disappear into a board folder and members never hear about them again. Send another survey the following year and you shouldn't be surprised by fewer replies. This article helps with both: a short questionnaire, and an overview of what you already know without asking.

Sports club survey questions: the template by theme

The list below has seventeen questions across eight themes. Fifteen are closed (a choice or a rating), two are open. Cut anything you won't use: a question when you don't know what you would do with the answer only costs people time. The answer format for each question is in brackets.

1. About you

  1. What is your role at the club? (multiple choice: adult player, youth player, recreational player, parent of a youth player, coach, volunteer)
  2. How long have you been a member? (less than a year, one to three years, more than three years)

Don't ask for a name, and don't ask for a team either. In a team of ten players, "player on the second women's team, member for less than a year" can already point to one person, and then your anonymous survey no longer is. A broad group such as adults, youth or recreational players is enough to set the answers against attendance later.

2. Practices

  1. How satisfied are you with practices? (1 to 5)
  2. Do the day and time of your practice work for you? (yes, mostly, no)
  3. How is the level of practice for you? (too easy, about right, too hard)

3. Team and matches

  1. How much do you enjoy being on your team? (1 to 5)
  2. Do you get enough playing time in matches? (yes, not quite, no, I don't play matches)

4. Communication

  1. Do you hear in time what is going on at the club? (always, mostly, often not)
  2. Where would you prefer to get club news? (multiple choice: app, email, website, group chat, at the gym)

5. Volunteering

  1. Would you like to do something for the club besides playing? (yes, maybe, no)
  2. What would you like to do? (multiple choice: refereeing or scorekeeping, coaching a team, helping at home matches, organizing a tournament or social event, a seat on a committee)

6. Atmosphere and safety

  1. Do you feel welcome at the club? (1 to 5)
  2. Do you know who to talk to if something isn't right? (yes, no)

7. Next season

  1. Will you still be a member next season? (yes, not sure, no)
  2. How likely are you to recommend the club to a friend or colleague? (0 to 10)

8. Open questions

  1. What should the club definitely keep?
  2. What should change next season?

If you still want to be able to talk to someone who is on the fence, add a link at the end to a separate, optional form: "Can we get in touch with you? Leave your email address here." Because that address is not in the same form, the survey answers themselves stay anonymous. What to do with those members who are wavering is covered in member retention at your sports club.

How to get members to fill in the survey

If you do ask for a name or email address, you are collecting personal data. Say what it is for, keep it no longer than you need it and store it separately from the answers. Which answers do you already have? The numbers in Koach Club

What that means for your questionnaire: don't ask how often someone comes to practice, because you already know. Ask why. If you see low attendance in the youth teams and youth players and parents say in the survey that the practice time doesn't work, you have something concrete for the next coaches' meeting. The other way around, high attendance says nothing about enjoyment, or about who is unsure about next season. That is only in the answers.

Two limits. Why a player says they can't make it stays within the team: club leadership doesn't see the reasons players give. And Koach does not replace your membership administration. Anyone who isn't on a team in the app doesn't show up in these numbers; you only reach those members through your own member list.

A poll per team for one quick question

Koach has no survey for the whole club. What it does have: every coach can post a poll in their own team. On the team dashboard they tap + New under Announcements and choose Poll; a poll has at least two and at most six options. Everyone with an account on the team picks one option and can change it later. Each option shows the number of votes, not names.

That lets you answer one question with a few options, for one team: should practice move half an hour later, yes or no? A questionnaire with seventeen questions, open answers or the whole club at once: a poll can't do that. Nor is it truly anonymous, because you vote with your own account. You can announce the survey in the app, though. A club manager or board member sends one message to every member of the club via Profile and Club announcements. Anyone who has the app on their phone with club announcements switched on gets a push notification, and every member with an account can read it again under Profile in Club announcements. Say in it where the form is and how long it stays open.

Online form or in-app poll: which fits where?

For the survey itself, then, you use an online form; there are free options. A paper form at the annual meeting only reaches the people who show up that evening, and a feedback evening gives you depth but few voices. The poll in the team app is something else: quick, but small.

Which clubs is Koach Club for, and what does it cost?

Koach Club suits a volleyball club with several teams where coaches keep track of attendance, and where the board wants to compare attendance per team with the answers from a survey. It is not a fit if what you mainly want is a survey tool: it doesn't have one, and a form does that job better. Nor is it built for membership administration or for a multi-sport club; Koach only covers the volleyball teams.

Frequently asked questions

What questions should you ask in a sports club member survey?

Ask about what you can't see: how satisfied members are with practices, whether the day and time work, how much they enjoy their team, how they want to get club news, whether they would do something for the club, whether they feel welcome and whether they are staying next season. Finish with two open questions: what should the club keep, and what should change. You don't need to ask how often someone practices if you already track attendance.

Should a club member survey be anonymous?

Preferably, yes, because members answer more honestly. So don't ask for a name, and don't ask for a team if a team is so small that a few details together already point to one person. If you want to be able to talk to someone, add a link at the end to a separate, optional form where they can leave their email address. That keeps the survey answers themselves anonymous. Say what you will use the address for and when you will delete it.

Can I create a member survey in Koach?

No, Koach has no survey for the whole club.
